Questions from owners and clinic directors
We're careful about anything that touches client medical information. Is this a problem?
No. It is the right instinct, and it is how we work too. Your records stay in your systems. Clinical decisions stay with your licensed providers. Nothing goes to a client without a person at your practice sending it. We start with your own records, not a general tool, and you decide what is included.
Can it make things up?
It can only answer from the records you connect. If the answer is not in your files, it says so. Every answer shows where it came from, so the front desk or a provider can check it the same way they would check a note in the chart.
Who at the practice actually uses it?
Usually the front desk first, because they are the ones looking up history, preferences, and memberships all day. Then providers, for a quick read on a client before they walk in. Owners and clinic directors tend to use it to see who is due, who lapsed, and which memberships are up for renewal.
How do people actually talk to it?
However they already talk. Call it, text it, email it, or message it in whatever your practice uses. There is no new app to open. A provider can text a question between rooms and get the same answer the front desk gets at the counter.
Will it message a client or suggest a treatment on its own?
No. It prepares. A person at your practice sends every message. It can tell you what a client has had and when; a licensed provider decides what comes next. That does not change.
Where does our client data go?
It stays in your systems. Nothing is copied into a public tool, and nothing is used to train anyone's model. For practices that want it, the whole thing can run on hardware inside your own practice.
We're a single location. Is this overkill for us?
Single locations often get the most out of it, because one front desk is holding all the client knowledge, and it walks out the door when someone leaves. We start with one location or one service line, and you decide whether to go further.
Does it work with the software we already use?
Yes. We connect directly to booking and charting (Zenoti, Boulevard, Mindbody, Vagaro, Mangomint, AestheticsPro, Nextech, PatientNow, Jane), point of sale (Square), and on-premises SQL stores. If you use something else, ask us.
What if it doesn't work out?
You turn it off. Your data was in your systems the whole time, and nothing about your front desk's day or your providers' day changes.
