FAQ

Questions from partners and practice owners

We've been meaning to look at this but never have time. When would we even start?

After a deadline, not before one. Most firms we talk to are in the same place: they know the way things run is held together by a few people's memory, and there is never a quiet month to do anything about it. We start in late spring or summer, with one team, and fit the work around your calendar rather than the other way around.

Can it make up a number?

It can only answer from the records you connect. If the answer is not in your files, it says so. Every answer shows where it came from, so a reviewer can check it the same way they would check a staff accountant's workpaper. It does not compute a return or post an entry. Your tax and ledger software still do that.

Who at the firm actually uses it?

Usually staff accountants and admins first, because they are the ones chasing documents and looking for last year's file. Then managers, for getting a review together. Partners tend to use it before a client call, when they need a quick status on an engagement they are not handling day to day.

How do people actually talk to it?

However they already talk. Call it, text it, email it, or message it in whatever your firm uses. There is no new app to open. A partner can text a question from home at night and get the same answer a staff accountant gets at their desk.

Where does our client data go, and who at the firm can see it?

It stays in your systems. Nothing is copied into a public tool, and nothing is used to train anyone's model. Inside the firm, access follows the permissions you already have: if someone cannot open a client in your practice management system, they cannot see that client here, and you can keep whole clients or engagements out entirely. For firms that want it, the whole thing can run on hardware in your own office.

Can it email a client without someone looking at it?

No. It prepares. It can draft the reminder about the documents a client still owes you, but a person at the firm sends it, files the return, and signs. That does not change.

We're a six-person firm. Is this overkill for us?

Small firms often get the most out of it, because one partner's memory is holding the whole practice together. We start with one service line or one team, and you decide whether to go further.

Does it work with the software we already use?

Yes. We connect directly to your ledger (QuickBooks, Xero, Sage Intacct, NetSuite), tax software (Lacerte, Drake, CCH Axcess, UltraTax), practice management (TaxDome, Karbon, Canopy), document portals (SmartVault, ShareFile), and on-premises SQL stores. If you use something else, ask us.

What if it doesn't work out?

You turn it off. Your data was in your systems the whole time, and nothing about your staff's day changes.
