Short answer: a lapsed membership is usually a missed conversation, not a lost customer. Pull the people who should have been in and were not. Draft a note the front desk would actually send. A person still sends it. A bot that "wins them back" in a voice that is not yours will do the opposite.
Luxury businesses run on the feeling that someone remembered. An AI receptionist that talks for you already puts that at risk. A membership blast in November is the same risk with a calendar attached. HIPAA still applies to anything that sounds like a treatment, a reaction, or a chart.
What "lapse" actually looks like
The member did not cancel. They just stopped appearing. The last visit was August. The package has two sessions left. The front desk would have texted if they had a list that was not a hunt through the booking system, the POS, and whoever happened to remember her name.
Holiday weeks make it worse: the people you want in December book in October. The ones you remember in January already found another chair.
What AI may do
- List members with no visit in X weeks, packages about to expire, and people who asked about a treatment and never booked.
- Pull the last visit and the last preference the desk already recorded — not a guess about their face.
- Draft a short message in the desk's tone: we noticed, here is a time, no pressure.
- Remind the desk. Not the member.
What it must never do
- Diagnose, recommend a treatment, or mention a clinical detail in a marketing text. That is a privacy problem and a taste problem.
- Offer a discount the owner did not approve.
- Send anything without a person. The whole point of a med spa membership is that it felt personal. Automation that skips the desk deletes the product.
- Shame. "We miss you" from a robot is how you get an unsubscribe, not a booking.
The questions to ask
- Does a human approve every outbound message?
- Can the draft see last visit and membership state without pulling chart notes into a marketing tool?
- What happens with a complaint or an adverse reaction in the reply? Those go to a licensed person, not a sequence.
- Is this practice a covered entity, and does the vendor have an answer that is not a blog post?
Aesthetic Record and Zenoti are named as systems practices already run. That is context, not a connector claim.
A realistic first step
Export, or walk through, the members with no visit since late summer. Have the desk pick twenty they would actually text. Draft those twenty. Count how many the desk would send unchanged, how many they would rewrite, and how many they would never send. That ratio is the product.
If you want those lists and drafts sitting with your front desk, in your voice — talk with us. If a better reminder inside the booking system is enough for this season, we will say so.
